Capture

Nothing comes in without someone responding.

A garage does not have one channel, it has four. The phone rings, a WhatsApp message comes in, the form on the site sends an email and someone simply walks up to the counter. The first three come together at Helvaro in one stream, with one history per customer.

The point is not that answers come faster. The point is that there always is always an answer. A missed call at a quarter past six is no longer a missed call, but a conversation that started at a quarter past six.

Understand

The car as well, not just the question.

This is where the difference lies between a general assistant and something that belongs in automotive. "My car is making a strange noise" is, to a chatbot, a sentence. To this system it is a reason to ask for the registration, and from that moment there is a car on the table with a year, a fuel type and an expiry date.

After that the question is no longer "what does this person want", but "is this an MOT, a repair, a service or a price enquiry". That distinction determines which questions follow and how much time the slot should get.

Act

Answering is the beginning, not the end.

A conversation that ends with "give us a ring" has solved nothing, it has moved the work onto the customer. Helvaro proposes a slot, books it, confirms it and reminds about it. If it stays quiet after a quote, another message follows, and one more, and then it stops.

What does not fit goes through to a person. A damage case, an unhappy customer, a technical discussion about an engine problem. Those go to a named person at your end, with the conversation, so nobody has to start again.

Connect

In your existing software, not beside it.

This is the layer where most loose tools fail. An appointment that only sits in a separate little screen has to be retyped by someone. That lasts two weeks and then stops, and the system is quietly abandoned.

Helvaro writes into the planning your team already works in. We only call live what is live. The rest is marked in development or planned, and that only changes once it works at a real garage.

Measure

What you do not count does not improve.

The question a garage owner asks after three months is not "does the technology work". It is "did it earn me anything". For that you need to know how many conversations came in, how many became appointments, and how many of those would have leaked away without this system.

That last number is the only one that really matters, and it is also the hardest. That is why we start the pilot with one figure instead of a dashboard full of charts.
