A buyer asks about a car. Who answers first?

Most enquiries come in outside your opening hours, and almost never to one business at a time. Whoever answers within a few minutes with the right data gets the appointment. The rest get a read receipt.

The first response decides, not the best price.

Someone sees your advert in the evening, asks whether the vehicle is still there and sends the same question to three other businesses. By nine tomorrow morning they have already been somewhere, or already have an appointment.

The problem is not that your salesperson is slow. They were with a customer, out on a test drive, or simply gone home. It is just that enquiries do not only come in during office hours.

What a buyer wants to know in those first minutes is small: is it still there, what does it cost, and when can I come and look.

  • An enquiry from 21:43 answered at 09:15 is usually already gone.
  • You do not even know how many come in during the evening.
  • The vehicle is still there, but the buyer went to look somewhere else.

What the system does.

From incoming question to pinned-down appointment, without anyone having to sit behind a screen.

  1. 01

    The question comes in

Through the form on your site, through WhatsApp or by email. All three end up in the same flow, with the same treatment.

  2. 02

    The car gets pulled in

Which vehicle do they mean. If there is a link, that is clear. If they only say "the blue X5", further questions follow until it is right.

  3. 03

An answer with the data attached

Availability, price, mileage and trim come from your own stock. Not from an estimate and not from a general spiel.

  4. 04

The questions after it get answered

Towbar, service history, warranty, first owner. What is in the data gets answered. What is not goes to a salesperson.

  5. 05

    Offering a slot

Not "feel free to get in touch", but two concrete slots when the vehicle and someone from your team are available.

  6. 06

    The file is ready

Name, vehicle, budget if they mentioned it, term, appointment and the whole conversation. Your salesperson does not start from zero.

A conversation that comes out of this.

An example, not a recording of a customer. You set the tone yourself, this one is ours.

The enquiry that would otherwise have sat there until tomorrow.

You are there first

Not because you type faster, but because there is always someone. Also at ten in the evening and on a Sunday morning.

The buyer gets real data

Price, mileage and trim come from your stock. That saves the disappointment you would otherwise only notice on the forecourt.

Your salesperson gets a file

Instead of a loose email saying "is this still available" there is a conversation with a vehicle, a term and an appointment.

You see how much comes in

For the first time a number on something counted nowhere today: how many enquiries, through which channel, at what hour.

Not a loose little helper.

This is the workflow where almost everything starts. The other seven branch off from here as soon as it is clear what the buyer wants.

Which layers this touches
  • CaptureWebsite, WhatsApp and email in one flow.
  • UnderstandWhich vehicle, and what the buyer asks about it.
  • ActAnswering, asking further and pinning down a slot.
  • MeasureEnquiries per channel, per hour, and what became an appointment.
Works together with
  • Test driveTurns the viewing into a test drive with a slot.
  • Follow-upPicks up what stays quiet after the first answer.
  • WhatsAppPasses the conversation on to WhatsApp when the buyer wants that.

What this agent does not do.

  • It invents no vehicle data. What is not in your stock goes to a salesperson.
  • It does not negotiate on price.
  • It promises no trade-in value and no financing approval.
  • It pins down no appointment at a time whose availability is unknown.
