We are looking for five dealerships for the first measurement. See the pilot

The serious enquiries still come in by email.

An email is longer, more often mentions a trade-in and more often comes from someone who means it. And it is exactly that email that sinks between invoices, newsletters and suppliers.

A good enquiry disappears into a shared mailbox.

Everything arrives in a dealership's general mailbox: enquiries, invoices, notifications from classifieds sites and advertising. An enquiry that lands there at a quarter past eight in the evening sits under twenty other messages the next morning.

There is no owner. Everyone assumes someone else will pick it up, and that is exactly what does not happen.

On top of that such an email often says more than a chat message: which vehicle, what they drive now, when they are free. That is free information going unused.

  • The best enquiry of the week becomes the slowest answered.
  • Nobody feels ownership, so it stays lying there.
  • What the email says never gets put into a file.

What the system does.

From a message in a mailbox to a file with a next step.

  1. 01

    The email gets read

Enquiries are told apart from invoices and advertising. Only what is about a vehicle enters the flow.

  2. 02

    Picking out the vehicle

From the link, the advert number or the description. If it is not unambiguous, a question comes back.

  3. 03

    Filtering the rest out

Trade-in, budget, term, when they are free. What the email says, nobody has to ask again.

  4. 04

    Answering in the same tone

An email deserves an email, not a chat message. With the vehicle's data and a concrete proposal in it.

  5. 05

    Creating a file

Even if they continue on WhatsApp later, it stays the same file with the same vehicle.

  6. 06

    Follow up

If it stays quiet, it goes to the follow-up, just as with any other channel.

A conversation that comes out of this.

An example, not a recording of a customer. You set the tone yourself, this one is ours.

BuyerGood evening, I'm interested in the BMW X5 on your site. Is it still available? I drive a 2018 Audi A4 myself that I might want to trade in. I have time to come by at the weekend.
HelvaroGood evening, the 2021 X5 xDrive30d is indeed still for sale. 82,000 km, automatic, €48,900, with a full service history. For your Audi A4 one of our salespeople will gladly look at what it is worth. Saturday works at 11:00 or 14:00, and then we look at both vehicles together.

The channel with the best enquiries.

Nothing gets left lying

Every enquiry gets an answer within minutes, including the one at a quarter past eight in the evening.

The information gets used

What the buyer already wrote themselves lands in the file instead of in a mailbox.

One file across all channels

If they email tonight and message tomorrow, that is the same buyer with the same vehicle.

Your general mailbox becomes readable again

Enquiries go into the flow, the rest stays plain mail.

Not a loose little helper.

Email is not a second-rate channel but the place where the most detailed enquiries arrive. So it gets the same treatment as the rest.

Which layers this touches
  • CaptureThe general mailbox as a channel in its own right.
  • UnderstandWhich vehicle, which trade-in, which term.
  • ActAnswering by email and proposing a slot.
Works together with
  • Trade-inPicks up the trade-in often mentioned in the email.
  • WhatsAppTakes over the conversation when the buyer switches to it.
  • Follow-upFollows up when no answer comes.

What this agent does not do.

  • It does not answer email that is not about a vehicle.
  • It invents no data that is not in your stock.
  • It names no trade-in figure.
  • An angry or legal email goes straight to a person.

Last night's email is still sitting there.

Twenty minutes on your own numbers. We show what this workflow would do at your place, or why you are better off starting with another one.
